CVR Registration and Refund Policy

Cancellations, Substitutions, and Downgrades

Sorry, no refunds are available for CVR tickets purchased and for no-shows. If you are unable to attend the event, we recommend that you send a substitution in your place. Changes to registrations (purchase a different ticket, name substitution, etc) may be done via Eventbrite in the ticket confirmation page. No downgrades of tickets are permitted. 

Program Changes

Archiact Interactive Ltd., producers of CVR, reserve the right to make changes in the programs and speakers, or to cancel sessions if enrolment criteria are not met, or when conditions beyond its control prevail. Seating for all sessions and programs is on a first-come, first-served basis. Arrive early to ensure a seat! Demos are subject to change without notice and are available on a first come, first serve basis or at the discretion of the exhibitor.

Event Badges and Wristbands

Event badges and/or wristbands will not be mailed in advance of the event. Registration for CVR will open on Wednesday, May 3rd at noon.  Hours to be posted on the website closer to the date.  To check in for your badge or wristband, you will need to use the same email address used when you registered, this is noted on your registration receipt. Please bring a copy of your confirmation along with a government issued photo ID to collect your badge.  All students must bring student ID to collect their badges, or they will be charged for the full price pass.  Please care for your badge. A non-refundable replacement fee will apply to all lost, misplaced, stolen, forgotten and duplicate badge request

Hotel Reservations

If you have not yet made hotel arrangements, we urge you to do so immediately. For hotel reservations, please refer to the Travel Page.

Children at The Show

Although children are welcome to attend CVR 2017 please note that all exhibitors reserve the right to refuse minors to participate in the VR/AR demos.  We think that VR and AR is for everyone.  There are, however, studies that indicate using headsets under the age of 13 is unsafe. Children under the age of 12 must be accompanied by a paying adult. Please keep in mind that the show floor will feature loud music, lasers, mature content and other elements that young children may find over-stimulating.  

Discount Code Policy

Discount codes cannot be combined with other discount promotions, including group discounts, exhibitor discounts, other special discount offers or previously purchased or registered passes. All discount codes are subject to review and are limited to one discount per registration.

CVR Code of Conduct

Purpose

CVR believes our community should be truly open for everyone. As such, we are committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, disability, ethnicity, or religion.

This code of conduct outlines our expectations for participant behavior as well as the consequences for unacceptable behavior.

We invite all sponsors, volunteers, speakers, attendees, media, exhibitors and other participants to help us realize a safe and positive conference experience for everyone.

All determinations of appropriate or inappropriate behaviour are in CVR's sole discretion and the decision(s) of the CVR representative's onsite will be final.

Expected Behaviour

Be considerate, respectful, and collaborative.

Refrain from demeaning, discriminatory or harassing behavior and speech.

Be mindful of your surroundings and of your fellow participants. Alert conference organizers if you notice a dangerous situation or someone in distress.

Unacceptable Behaviour

Unacceptable behaviours include: intimidating, harassing, abusive, discriminatory, derogatory or demeaning conduct by any attendees of CVR and related events. Many CVR venues are shared with members of the public; please be respectful to all patrons of these locations.

Harassment includes: offensive verbal comments related to gender, sexual orientation, race, religion, disability; inappropriate use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or following; harassing photography or recording; sustained disruption of talks or other events; inappropriate physical contact, and unwelcome sexual attention.

Physical, written, verbal or other abuse, intimidation, threats, annoyance, harassment, stalking, pushing, shoving or use of any physical force whatsoever against any person, which in any way creates a disturbance that is disruptive or dangerous, or creates apprehension in a person, as determined by CVR and its show management, in their sole discretion.

Possession of any item that can be used as a weapon, which may cause danger to others if used in a certain manner.

Any boisterous, lewd or offensive behavior or language, including but not limited to using sexually explicit or offensive language, materials or conduct, or any language, behavior or content that contains profanity, obscene gestures, or racial, religious, gender, or ethnic slurs.

Possessing any open can, bottle or other receptacle containing any alcoholic beverages, except in areas specifically designated for the consumption of alcohol. 

Possessing any illegal substance, including but not limited to narcotics, marijuana, or other illegal drugs. CVR does not tolerate the use or abuse of illegal substances anywhere in the Venue.

Assembling for the purpose of, or resulting in, disturbing the peace, or committing any unlawful act or engaging in any offensive behavior.

Failure to obey any rules or regulations of the Venue.

Consequences of Unacceptable Behavior

Unacceptable behavior will not be tolerated whether by other attendees, media, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors.

Anyone asked to stop unacceptable behavior is expected to comply immediately.

If a participant engages in unacceptable behaviour, the conference organizers may take any action they deem appropriate, up to and including expulsion from the conference without warning or refund.

What to Do If You Witness or Are Subject to Unacceptable Behaviour

If you are subject to unacceptable behavior, notice that someone else is being subject to unacceptable behavior, or have any other concerns, please notify a conference organizer as soon as possible. All reports will remain completely confidential.

The CVR team will be available to help participants contact venue security or local law enforcement, to provide escorts, or to otherwise assist those experiencing unacceptable behavior to feel safe for the duration of the conference. You can report unacceptable behavior to any member of staff.

Please note that hired, professional security is onsite at all times and is available should they be needed. 

Scope

We expect all conference participants (sponsors, volunteers, speakers, attendees, and other guests) to abide by this code of conduct at all conference venues and conference-related social events.

The above policies may be revised at any time by Archiact Interactive Ltd. and are non-negotiable. This Code of Conduct is without prejudice to CVR’s rights, all of which it expressly reserves.
